How Alpine Uses AI

Quick Answer

Alpine uses AI and automation, which we call Belay, for the repetitive work behind the scenes: reminders, onboarding paperwork, filing email, getting messages to the right person, morning reports, and drafting content. It handles about 66 hours of work a week, roughly the work of two full time people. Every conversation is still with a person. Belay never answers the phone, never poses as a person in a conversation, never makes decisions about your property, and never approves spending.

Our promise: you talk to people

Alpine is a small local team in Kansas City managing 250 plus rentals. Owners hire us because a person who knows their property answers the phone, and that is not changing. What we automate is the work nobody should be doing by hand: chasing a signature, copying an address into three systems, remembering to send the next reminder, checking that a website form actually arrived.

That work still has to happen, and it has to happen every time. So we built Belay to do it, and we kept the conversations, the judgment, and every decision about your money with people.

What does Belay do today?

Everything below is running now. Nothing here is a plan.

  • Gets new owner inquiries to the right person. A request from our website reaches the right person on our team within minutes. If you asked about management and have not booked a call yet, Belay sends a short series of follow up emails from Marcus's inbox, and it stops the moment you book, become a client, or tell us you are not interested. If you have not booked a call, a person on our team is told so they can reach out.
  • Prepares your agreement. When you complete our onboarding form for management or leasing, Belay builds your agreement from your answers, sends it for electronic signature, checks it for missing or mismatched details, and tells our team at each step. If something does not line up, like a unit count that differs from county records, it flags it and a person sorts it out with you. Once you are set up, Belay checks that your account is complete in every one of our systems and flags anything missing.
  • Makes sure nothing waits. When an owner or tenant writes in, calls, or texts, the team member assigned to them is notified. A message that goes two business hours without a reply, and has nobody assigned, is given to a person. A new work order reaches the right team member, a lease nearing its end with no notice becomes a task, and when you fund a repair or project our construction manager hears about it right away.
  • Files incoming email where it belongs. Messages to our team are filed to the right owner, tenant, or property, so whoever picks up your question can see the full history without asking you to repeat it.
  • Runs the morning checklist. Each morning our team gets a summary of every listed home and new rental inquiry and a report on our own systems. In mowing season it also builds the weekly mowing list every Monday. If one of our systems has a problem, Belay tries a safe fix first and tells a person what it found. Our records are backed up every night, with an encrypted copy kept away from the office.
  • Asks for reviews and says thank you. Owners and tenants we invite get a short, scheduled request for a Google review, and five star reviews get a thank you reply. Anything less than five stars goes to a person.
  • Drafts our content. Our articles and social posts are drafted with AI from our own verified numbers and run through automated checks against those numbers before they publish, our explainer videos are generated from the finished articles, and short clips are cut and edited automatically.

What does Belay never do?

These lines are fixed. They are the reason Belay is a system with a name and not a pretend employee.

It will never answer the phone

Every call to Alpine rings people on our team. If we miss you, a person calls you back.

It will never pretend to be a person

Belay has no human name, no face, and no made up personality, and it never poses as a person in a conversation with you.

It will never make decisions about your property

Tenant selection, repairs, renewals, and notices are decided by people on our team. When something does not fit the rules, Belay flags it for a person.

It will never approve spending

Belay never approves a repair and never moves your money. Every spending decision is made by a person on our team, within the approval limit you set.

How much work does Belay actually do?

We measured it. For each system we counted what it actually handled in the 28 days ending October 16, 2026, read from that system's own records (a shorter window for the few that started more recently), turned the count into a weekly figure, and multiplied by the time the same task takes by hand. The total is about 66 hours a week. At 40 hours per full time person, that is roughly two more people we would need to do the same work without it.

The counts are real and are measured again every month. The by hand times are our own estimates for doing each task carefully: a researched article with its sources and photos, an agreement checked line by line, an email filed to the right record. Reasonable people could pick slightly different times. The total is built row by row from what each system actually did, not rounded from a guess.

What do owners notice?

Hours saved are our side of the ledger. Yours is speed. Belay prepares your agreement, checks it, and moves each step along the moment the last one finishes. Here is how long that takes in practice.

4.9 daysmedian from our onboarding form to a fully signed management agreement
6.6 daysmedian from our onboarding form to an owner fully set up with us

Medians for management owners who started with us since April 2026, measured through October 16, 2026: the signing time across the 19 owners whose signing date we recorded, and the setup time across the 24 whose setup date we recorded. A few early owners were already signed when we started tracking, so they are left out rather than estimated.

What does this mean for you as an owner?

The hours Belay saves go back to the work that needs a person: answering your calls, working with your tenants, meeting vendors at your property, and catching problems early. A small team with Belay behind it can respond like a bigger company without the call center feel of one.

The tools behind your account itself are covered in our post on the property management technology Alpine uses, including the owner portal where you see your statements, maintenance, and documents. To see who does the human side of the work, meet the Alpine team.

Questions about AI at Alpine

Does Alpine Property Management use AI?

Yes. Alpine uses AI and automation, which we call Belay, for repetitive background work: follow up reminders, onboarding paperwork, filing email to the right property, getting messages and work orders to the right person, morning reports, system monitoring, and drafting content. Measured from the systems themselves, it handles about 66 hours of work a week. Every phone call and every reply to our email is handled by a person on our team.

Will I ever talk to an AI when I call Alpine?

No. Belay never answers the phone. When you call 816-343-4520, the call rings people on our team. If nobody can pick up, you leave a voicemail and a person calls you back.

Does AI make decisions about my rental property?

No. Belay does not decide anything about your property and it never approves spending. Repair approvals, tenant decisions, and every spending decision are made by people on our team, within the approval limit you set, and Belay never moves your money. When something does not fit the rules Belay follows, it flags the item for a person.

If I reply to an automated email from Alpine, who reads it?

A person. Our follow up and review request emails are sent from a real staff inbox, so your reply lands with the person whose name is on the email, and they answer it.

Who is Belay?

Belay is not a who. It is the name we gave the systems that run behind our team. In climbing, the belay is the line that catches you, and you rarely see it working. That is the job: keep requests from slipping, quietly, while the people on our team do the work that needs judgment.

How did you get the hours figure?

We counted what each system actually handled over the last 28 days, read from its own records, turned that into a weekly figure, and multiplied by how long the same task takes by hand. The rows add up to about 66 hours a week. At 40 hours per full time person, that is roughly two more people we would need without it. The full table is on this page.
